Playbook

The mailbox is the business, and the quote nobody chased is the job you did not win.

Four tasks for the person answering the company mailbox, set up in one pass. You connect the mailbox once, read a preview run on your own mail, and approve. Nothing goes out to anyone else.

The week it covers

Plumbers, electricians, HVAC, roofers and landscapers, where the owner is the person answering the company mailbox.

Help desk replies

When a customer emails a question you have an answer for, a reply is drafted from your list of questions and answers, as you wrote them. You keep the list, and Faber can fill it from the replies you have already sent. A question with no answer on the list gets no draft: you are told who asked and what, so you can add it. A complaint, or anything urgent, is flagged for you instead of drafted.

Morning email brief

Each weekday morning, a ranked handful of what actually needs you, most important first, with one line on each saying why it is above the line. Everything else is a count, not a list. Something you have not answered keeps coming back, with how long it has been waiting, until you reply on it. Then today: one line on the shape of the day, the invites you have not answered, and anything booked twice. A message from someone you are meeting today moves up next to the meeting. It arrives where you told it to, and your own inbox is one of the choices.

Follow-ups when nobody replied

Finds the threads where you sent the last message days ago and nobody replied, skipping the ones that were already finished by a thank-you or a confirmation. For each one still open, a short follow-up drafted in the same thread: what was being discussed, and the one question that moves it forward.

Save email attachments

Once a day, the receipts and invoices that arrived since yesterday: the attachment saved into a folder, and a row added recording the date, the merchant, the amount, and a link to the file. Anything already filed is skipped, so nothing lands twice.

Setting it up

You say it once, not four times.

One set of connections

All four read the same mailbox. Filing what arrives adds one folder for the files and one sheet to list them in, picked once.

Keep the ones you want

Every task has a checkbox and they all start ticked. Unticking one drops it, and drops whatever it was the only task that needed.

One preview to read

They run a preview on your real work with every action held back. You read what they would have done before any of it is real.

What it costs

Setting all four up is free. Running them is what counts.

You install all four and read all four preview runs whatever plan you are on. What your plan limits is how many run on their own afterwards.

Free runs them all for 14 days, then they stop until you upgrade.

Pro is $20 a month and runs five at a time, so this playbook fits inside it.

Set up the Home Services playbook.

Connect what the four tasks share, read the preview run, and approve.
